Now, it’s a constant barrage of emails. Class updates, PTA meetings, fundraisers, field trips – the list is endless. And let’s not even talk about the multiple platforms. Emails, apps, online portals – it’s like schools are trying to test our tech skills along with our parenting ones.
The problem? Important info gets buried. Fast. That crucial detail about the science fair? It’s hiding in paragraph seven of a 1000-word email about the school’s new recycling program. Fun times.

Here’s the secret sauce: I created a workflow in n8n/make.com that reads school emails for me. I fed it info about my kids – names, classes, activities – and boom! It scans emails like a pro.
The result? A daily summary on my phone, highlighting only the stuff that matters. No more missed deadlines, no more last-minute panic.
I’m using Openrouter.ai so I can choose my LLM. The beauty of my setup is that I’m using a FREE LLM. So you can do this all for free!
How It Works: The Nitty-Gritty

Okay, tech nerds (I say that with love), here’s how the magic happens:
- Email Integration
First, I connected my email account to n8n. I use IMAP because IMAP is just for reading the emails. I’m using Google and the problem with using SMTP is that although I can send emails, every 30 days I need to log into Google and renew my API keys. IMAP, I can just set and forget. - Keyword Training
I created a list of important keywords: “deadline,” “due date,” “costume,” “bring,” etc. The A.I. uses these to flag important emails. - Personal Info Input
I fed the system my kids’ names, classes, and activities. This helps the A.I. understand context. - Natural Language Processing
This is the cool part. The A.I. doesn’t just search for keywords – it understands context. So “Please bring a white shirt for the choir performance next Friday” gets flagged, even if “deadline” isn’t mentioned. - Summary Generation
The A.I. compiles all the important info into a concise daily summary. No fluff, just the facts. - Push Notifications
The summary gets sent to my phone as a push notification. I can read it over my morning coffee, and I’m set for the day.

They also take aquatics (swimming) and get emails from [insert email].
Pay attention to all the emails from [school name]. Also pay attention to my wife's emails.
I want you to read and summarize all the emails. If it's not important, just give me a short summary with less than 10 words.
Highlight as important if it is, add an emoji to indicate it is urgent:
- content related to my wife and kids
- or anything you deem important.
For the relevant content, find any action items and deadlines. Sometimes I need to sign up before a certain date or pay before a certain date, please highlight that in the summary for me.
Put the deadline in BOLD at the top. If the email is not important, keep the summary short to 1 sentence only.
